Privacy notice
Keeping and sharing your information.
How long we keep each kind of information, and who can see it.
How long we keep it
- Photos of your ID: erased 90 days after your ID is verified, or immediately if the ID is not approved. Afterwards only the ID type, the masked number, the expiry date and who verified it are kept.
- Requests, certificates and registrations: these are barangay records, kept under the barangay's records schedule.
- Messages: kept for one year, then erased.
- Chat with us conversations: kept for one year, then deleted.
- Form drafts: while you are signed in, a form you have not sent yet is kept on our server for 30 days after you last changed it, and deleted when you send it, cancel it or erase your account. A draft never holds files or passwords. Signed out, a draft stays only in your browser tab.
- Your account: yours to end at any time, in Emails and security. When you erase it, every personal detail on the account is erased. Requests you sent stay as barangay records with the name as submitted; the link to your account is removed.
Who can see it
- Only the barangay staff who handle your request, and only what they need for it. Every time staff open a sensitive record, it is logged.
- Never on public pages. The pages for tracking a request and checking a certificate show the status only: never your address, phone number or what you wrote. A valid certificate shows the holder's name and nothing more.
- We don't sell your information. Outside the barangay, only the companies that run parts of this website for us handle it, and only for that work: our hosting provider (the servers the website runs on; named here before the website goes live), Cloudflare (keeps the website fast and protects it from attacks), Resend (sends our emails) and Semaphore (sends text messages: codes that check a mobile number, and reminders for people with a hearing at the barangay, once text messages are switched on). Each has signed an agreement with the barangay to keep your information safe and use it for nothing else. Anyone else sees it only if a law or a court order requires it.
